Absences

Use this tab to define the settings required to maintain the absence details in the software.

The year-to-date absence can be calculated based on either the absence year start date, or the anniversary of the employee’s start date.

Absence

Absence – Year Start

The start date of the current absence year. This date determines which absences are current when you review an employee’s absence in the Absences window.  If the organisation has holiday allowances that start at different times of the year, such as January for Support Staff and September for Lecturers, the start dates should be defined in the Holiday Allowance definition instead.

Employment Start Anniversary

Check this box if the start of the holiday year is dependent on the employee’s anniversary date.

Based On

If the start of the holiday year is dependent on the employee’s anniversary date, the anniversary date can be calculated based on a number of different date fields from the employee’s HR Record > Employment > Terms. Typically the anniversary date would be based on the Service Start Date field.

Held to 0, 1 or 2 Decimal Places

Type the number of decimal places to which employee absence days are calculated.

Leave – Absence Type

When an employee takes absence of the selected type, the system checks whether the employee has exceeded his holiday entitlement for the current holiday year.

Should the holiday allowance be pro rated to the Hours per Week and Weeks per Year, compared to the Whole Time Equivalent definition?

Use Notional If No Actual

The Actual Factor in HR Record > Employment > Employment History > Terms is used to pro rate the annual salary based on the Hours per Week and Weeks per Year, compared to the Whole Time Equivalent definition, but these figures are calculated by the Salary Apply wizard and therefore may not exist when the initial holiday allowance record is created. If the Actual factor hasn’t yet been calculated, shoud the Notional factor be used to pro rate the holiday allowance instead?

Pro Rata

Start Date

If the holiday allowance is to be pro rated, should the Start Date of the Employment History record be taken into account if it falls within the current holiday year. This should typically be checked.

End Date

If the holiday allowance is to be pro rated, should the End Date of the Employment History record be taken into account if it falls within the current holiday year. This should typically be checked.

Use Which Dates

If either of the above fields are checked, there are a number of Start and End Dates that could be used. This value is typically set to Employment, which would then use the HR Record > Employment > Employment History > Start Date/End Date fields when pro rating holiday allowances.

Rounding Method Days

If the holiday allowance is pro rated, how the resulting figure is rounded. This would typically be set to Up To Half Unit.

Rounding Method Hours

If the holiday allowance is pro rated, how the resulting figure is rounded. This would typically be set to Up To Full Unit.

Review from Employment History

Check this box to turn on the button in HR Record > Employment > Employment History, which allows the user to force a recalculation of a holiday allowance, or to create a holiday allowance record whereby the system calculates the number of days and hours.
