Holiday Allowances

A unique code assigned to the holiday allowance.

Description

A name for the holiday allowance.

From/To

Optional to and from dates for the holiday allowance.  If all holiday allowances start on the same date, these fields can be left blank and the dates will be taken from System Setup > Housekeeping > System Definitions > Absences > Year Start.

Holidays

The number of days holiday this allowance attracts.

If the holiday allowance is assigned to an employee’s activity (employment history record), the system will pro rata the number of days based on the activity start and end date and the employees actual/notional factor.

Number of Hours

Optional, the number of hours holiday this allowance attracts.

If the holiday allowance is assigned to an employee’s activity (employment history record), the system will pro rata the number of days based on the activity start and end date and the employees actual/notional factor.

Category

Optional, the holiday allowances can be categorised for reporting purposes, for example Standard, Long Service Allowance.

Automation

Qualifying Query

Employees that qualify for a given holiday allowance can be defined by a query.  The Allocate Holiday Allowance Wizard is then used to assign the holiday allowances to the qualifying employees.

Auto Assign

If there is a Qualifying Query associated to the Holiday Allowance, and Auto Assign is checked, the Start of Day Routine will check daily to see whether the employees that appear in the query have a corresponding Holiday Allowance record, and if not the system will create the record.

Attach to Primary Active

If the query selected in the Qualifying Query is based on the HR Record (rather than the Employment History entity), should the resulting holiday allowance be attached to the Primary Active Employment History record.  The benefit of attaching the holiday allowance to the employment history is that the system can then pro rata the allowance based on the activity start and end dates, and the nominal/actual factor that determines the percentage of full time that the employee works.  This will then also apply to the holiday allowance each year it’s rolled over.

Auto Rollover

If the employee is currently assigned this Holiday Allowance, the system can create the forthcoming years allowance automatically.

Rollover Days in Advance

If Auto Rollover is checked, how many days in advance should the new holiday record be created.

The auto rollover functionality is particulary useful where holiday allowances are allocated based on the anniversary of employment where it would be used in preference to the Holiday Rollover Wizard, but care should be taken where many holiday allowances are likely to roll over on the same day as this will impact the performance of the computer that instigates the Start of Day Routine (the first computer to log on to the software and to access an HR Record that day).

Buying and Selling Holidays

If your organisation allows it, employees may either buy additional days holiday or sell unwanted holidays back to the organisation.

Payment/Deduction

If your organisation uses our Payroll module:

Buying holidays – select the payment deduction code that will be used to calculate the cost to the employee of each days holiday.

Selling holidays – select the payment deduction code that will be used to calculate the cost to the organistion of each days holiday.

The software will create the Working File record to reflect the cost of buying or selling the holidays.

Force Value As

If using the HR Portal, this field can be used to convert the number of days into a negative value, for example if an employee sells 5 days holiday, this would be translated as a negative (-5 days) holiday allowance.

Buy/Sell Cap

This field can be used to limit the number of days holiday that can be traded.
