Flood Template

Use this tab to define a flood template.

Code, Description

Type a code and a description. The code must be unique, to identify the template. In the description, it might be useful to include information about which browser and fields are involved.

Record

Select either Person or Contract from the drop-down list, to define whether the data flood tool is to update the HESA person record or the contract record.

Browser

Select the name of the browser to extract the data from the personnel system. Click to view a list of all the browser templates available. If does not show any templates, check the web service connection is operating correctly by using the Test Web Service choice on the Web Service menu.

Employee Reference

The software needs to know which field on the browser is the employee’s reference, so that it can match each employee’s record in the HESA module to that in the personnel system. Select the employee’s unique reference from the drop-down list (such as resource_id).

Contract Identifier

If a flood template for a contract record is set up, the software needs to know which field on the browser is the contract reference, so that it can match the correct personnel contract record to the correct HESA record. The drop-down list shows all the fields on the browser — select the field that corresponds to the contract record.

Source Data Item

Select the name of the field on the browser that holds the data in the personnel system to be transferred. In the example above, this is the field name of the Disability Access Code — that is, access_id. The drop-down list shows all the fields available on the browser — select the field from the list.

Destination Data Item

Select the destination data item from the drop-down list. The destination data item is where the data is to be put in the HESA module.

Direct Transfer

If the data is to be transferred exactly as it is, with no mapping of codes (unlike the example above), select this check box. Do this to transfer data such as dates, or when the HESA codes themselves have been used in the personnel system.

If the flood template is for a direct transfer, no further details are required, click Save to save the record and close the window. The flood template is now ready to be used.

If you require a change of coding, you must define it on the Flood Rules tab, ensure the Direct Transfer check box is clear, and save the details.
