Create and maintain employee pension records

The pension records for the employees in your organization are set up when your system is implemented. From time to time, you need to create and maintain pension records for employees when they leave and join your organization, when employees elect to change their contributions, and when the details of a pension scheme change.

To create a pension record, you link an employee’s HR record to a definition of a pension scheme.

To create a pension record for an employee:

  1. Search for and select an employee.
  2. Click HR Record > Payroll Details > Pensions. The Pensions window is displayed.
  3. Click New to create a new pension record. The Pensions window is displayed.
  4. Select a pension scheme from the Pension Scheme drop-down list.
  5. Press the TAB key or click in the Description field. The details recorded in the pension scheme definition fill various fields for the employee’s pension record in the Pensions window, but you can change them. For example, you can change the default description.
  6. In Status, select Active from the drop-down list.
  7. Enter the other details for the pension record in the Pensions window. For information about what to enter in the fields, refer to Pensions.
  8. Click Save to save the pension record.

To edit the details of an employee’s pension record:

  1. Search for and select an employee.
  2. Click HR Record > Payroll Details > Pensions. The Pensions window is displayed, which displays the pension records set up for the selected employee.
  3. Select the pension record whose details you want to update.
  4. Click Edit to maintain the details. The Pensions window is displayed.
  5. Update the data in the fields. For example, if the employee has ceased contributing to the pension scheme, and  you want to make the pension record an historical record, change the status to Closed and specify an end date in the To field.   6. Click Save to save your changes.
