Organisation Structures

An Organisation Structure within the software can be built using one of three methods. Multiple structures can be defined, each using different methodology.

 

Line Managers

Their option should be used where the structure is to be based on the links between Employees and their Line Managers:

a) A Structure Code will need to be defined to Personnel Definitions Org Structures Structure Types. All that needs to be define is a User Defined code and description.

b) It will be necessary to define which employees are line managers by ensuring that Line Manager is ticked in HR Record Employment Duties for the appropriate employees.

c) It will be necessary to define the employee’s line manager on the employee’s primary active employment history record, or to Employment if you do not use employment history records.

d) Personnel Functions Org Structure Builder  will need to be run to build the structure based on the Line Manager data held within the system.

e) Personnel Enquiries Org Structure Review can then be used to show the structure created and export the structure to Visio (Note: if you have this product).

 

Direct Entry

This option can be used where the links between employees are not held elsewhere with the system:

a) A Structure Code will need to be defined to Personnel Definitions Org Structures Structure Types. All that needs to be defined is a User Defined code and description.

b) Personnel Definitions Org Structures Structure Level can be used to define each Child/Parent link.

c) HR Record EmploymentOrganisation Structures can be used to define where in the structure each employee belongs.

d) Personnel EnquiriesOrg Structure Review can then be used to show the structure created, and export the structure to Visio (Note: if you have this product).

 

Posts

This option should be used where the structure is to be based on the linking of activities to their parents. Employees are included in the structure if they have been defined against an included activity:

a) Structure Code will need to be defined to Personnel Definitions Org Structures Structure Types. All that needs to be defined is a User Defined code and description.

b) It will be necessary to define each Parent Activity to the Personnel Definitions Employment Activity Details Maintenance.

c) If it is required to include employee’s in the structure, it will be necessary to define the employee’s activity on the employee’s primary active employment history record, or to Employment if you do not use employment history records.

d) Personnel Definitions Employment Org Structure Builder will need to be run to build the structure based on the Activity Details data held within the system.

e) Personnel Enquiries Org Structure Review can then be used to show the structure created and export the structure to Visio (Note: if you have this product).

f) Once a structure has been built, HR Record EmploymentOrganisation Structures can be used to make a temporary change for an individual employee. However, note that the next run of the structure build will remove this change, unless it is also made to the employee’s Employment History and/or Terms.
